How do you export Notes documents to Microsoft Word DOCX format.

 Solution

Exporting Notes documents to Microsoft Word DOCX format is available in the Export Utility version 6.66 or later. All versions of the Export Utility provide the option to export documents to Microsoft Word RTF format. The information below explains how to enable the option to export to the DOCX format once you have installed (or upgraded to) version 6.66 of the Export Utility or later.

If you have performed a new installation of the Export Utility you must download the 3rd party java libraries required for exporting to Microsoft Word and PDF formats. If you are upgrading the Export Utility from an earlier version then you will need to update to the latest versions for the 3rd party java libraries.

How to check if you already have the latest Java libraries installed
To check if the updated Java libraries have already been installed into the Export Utility follow these steps:
1. Open the Export Utility
2. While holding down the Ctrl + Shift keys select 'View' from the Notes menu bar then select 'Go To'. A dialog window will open showing all views in the application. You can release the Ctrl + Shift keys now:
3. Select either '(JavaLibraries-R8)' if you're using Notes release 8.x or select '(JavaLibraries-R9)' if you're using Notes release 9.x or later.

4. When the selected view has check the documents shown in the view. If there are no documents then continue to the 'Downloading the updated Java Libraries' section below.

If you see the documents highlighted below then you have the latest version of the Java libraries.

If you don't see the above libraries or you have different versions then continue to the 'Downloading the updated Java Libraries' section below.

If you found that you already have the latest libraries you should then check the 'Export' folder under the Notes data folder to ensure they've been installed:


If you're running the exports on the Domino server then you'll need to check the 'Export' folder under the data folder on the Domino server itself.

If the libraries aren't found or you see different versions to what is shown in the Java library views in the Export Utility then continue to the 'Installing the updated Java Libraries' section below.

If everything looks correct then continue to the 'Set the Microsoft Word Processor' section below.

Downloading the updated Java Libraries
To download and install the latest versions of the Java libraries follow the steps below.

1. Open the Export Utility

2. Select 'Actions' from the Notes menu bar, then select 'Upgrade' and then 'Check for Update'.

3. The update process will attempt to connect to the AGECOM website and retrieve the updated Java libraries

4. If the connection was successful the following message will be displayed:



5. If the update process couldn't connect to the AGECOM website the following message will be displayed:



You will need to download the Java libraries manually and import them into the Export Utility. Please click the following link to access the support note on how to manually download the libraries and import them ... Database 'AGECOM Support Notes', View '1. Search', Document 'Manually downloading & installing Java Libraries - release 6.x'. Note: Ensure you click the download link for Notes / Domino release 8.x or later.

6. The Export Utility should now contain the latest Java libraries inside it.

Installing the updated Java Libraries
Follow these steps to install the Java libraries to the Notes client or Domino server.

1. Select 'Actions' from the Notes menu bar then select 'Install' and then 'Java Libraries - Install'

2. A dialog window will open - the default values should be ok. Click the Install Java Libraries button.



If the Export Utility is being accessed from a Domino server then you'll have the choice of installing the libraries to the Notes client or the Domino server:


3. If Java libraries were previously installed they must first be uninstalled. You will be prompted to uninstall them so ensure you select 'Yes' to remove them:



You will also be prompted to restart the Notes client (or Domino server if updating libraries on the server) because the Java files are usually locked and cannot be removed:



4. After restarting the Notes client run the Java library installation process again. You will again be prompted to confirm the existing libraries should be removed so ensure you select Yes:



This time they will be successfully removed and the new libraries installed. You will need to restart the Notes client (or Domino server if installing libraries to the server) again:



5. After restarting the Notes client for the second time the updated Java libraries should now be installed.

Set the Microsoft Word Processor
The Export Utility provides a choice of two processors to perform the conversion of Notes documents to Microsoft Word - Apache FOP and XMLMind. Apache FOP (the original processor used by the Export Utility) provides the functionality to export to Microsoft Word RTF format only. As of version 6.66 of the Export Utility an additional processor (called XMLMind) has been implemented providing the functionality of exporting to DOCX and RTF formats.

To enable the DOCX option follow the steps below to specify the XMLMind process should be used:
1. Open the Export Utility
2. Select the Configuration Settings from the left-hand navigation pane
3. Click on the MS-Office options tab.
4. Set the Processor Type field to XMLMind.
5. Save & Close the configuration settings.



Specify the target Microsoft Word Format
After completing the above steps you can now specify the target file format for the Microsoft Word files.

Open the export profile document that you've created for exporting Notes documents to Microsoft Word then click on the MS-Word Options tab. You can set the MS-Word Format to 'DOCX'
